Who This Checklist Is For

If you're replacing a Baldor-Reliance industrial motor, choosing a 10 HP motor for a new machine, or trying to figure out whether a stepper motor with encoder is worth the cost, this is for you. I'm on the quality side of the counter: I review every motor order that goes through our shop—roughly 200 a year, maybe 180, I'd have to check the system. I rejected about 6% of first deliveries in Q1 2024 for things that were avoidable, and most of those had nothing to do with the motor brand.

This is a 6-step checklist, not a whitepaper. Each step has one checkpoint. Do them in order, and you'll catch the specification gaps that cause rework.

Step 1: Determine the Actual Load Before Choosing a Baldor-Reliance 10 HP Motor

I see 'Baldor-Reliance industrial motor 10 HP' on a lot of purchase orders. The horsepower number is necessary, but it's not enough. A 10 HP motor on a centrifugal pump is a different animal than the same rating on a loaded conveyor.

Measure actual line current at normal operation. Compare that to the motor's full-load amp rating and service factor. Also write down the ambient temperature and duty cycle. Continuous operation matters.

Checkpoint: Have the actual running amps, ambient temperature, and duty cycle on paper before you order.

Do not rely on the nameplate alone. Nameplates are written for a specific set of conditions, and a lot of 'same horsepower' motors have different starting torque and service factors.

Step 2: What Motors Are Compatible With a VFD? Check These Three Things

'What motors are compatible with VFDs?' is one of the first questions I get from maintenance teams. The short answer: most modern AC induction motors can operate with a VFD, but not automatically. You have to check the speed range, insulation system, and cooling method.

If the motor's nameplate says 'Inverter Duty' or 'Vector Duty,' you're in better shape. If it doesn't, don't assume a standard premium efficiency motor like the Baldor-Reliance Super E is automatically fine. Some Super E motors are rated for inverter use; others are not guaranteed over a wide operating range.

For reference, NEMA MG1 Part 31 covers definite-purpose inverter-fed motors. Use that with your motor vendor to confirm the adjustable speed range, especially if you plan to run below 20 Hz continuously. Constant torque at low speed can overheat a motor with a shaft-mounted fan.

Checkpoint: Confirm the motor's speed range, inverter rating nameplate, and torque type (constant or variable) before you pair it with a VFD.

Step 3: Check the Baldor-Reliance Super E Motor Grease Specification

This is the step that gets skipped, and it's the one that kills bearings. When someone searches for 'baldor reliance super e motor grease,' they usually need the exact factory fill or an equivalent. That information is on the motor's lubrication plate or in the manual. On the greaseable Super E motors we've unboxed this year, the manual specified a polyurea-based grease with an NLGI 2 rating. But you need to check your specific motor because sealed-for-life and different series motors do not follow the same rule.

Mixing greases is the dangerous part. A lithium-based grease mixed with a polyurea grease can cause the thickener to separate and starve the bearing. I once saw a bearing fail at 14 months because someone topped it off with general-purpose grease from the bulk cart.

Checkpoint: Locate the grease type, NLGI grade, and relubrication interval before installation. If the motor is sealed, write 'no grease' into your maintenance docs so nobody adds any.

Step 4: Industrial Stepper Motors: Is a Stepper Motor With Encoder Worth It?

Industrial stepper motors are common in indexing tables, pick-and-place machines, and packaging lines. A stepper motor with encoder adds closed-loop feedback, which is useful when you need to know whether a step was actually taken. It's not a servo, but it is a real upgrade over open-loop control for applications that jam or stall.

When specifying a stepper with encoder, don't stop at 'with encoder.' You need the output type (line driver is more noise-immune than open collector), resolution (typically 500 PPR or 1000 PPR), IP rating, and cable length. I had a 2-day deadline once to order a stepper for a retrofitted index table. Normally I'd have asked for a 25-foot shielded cable, but I didn't. The cable was 10 feet. In hindsight, I should have pushed back on the schedule. We've since standardized cable lengths on every stepper order.

Checkpoint: Verify encoder output type, resolution, IP rating, and cable length—and write down how the encoder shield is grounded.

Step 5: Get a Quote That Shows Everything, Including What Is Not Included

I've learned to ask 'what's NOT included' before 'what's the price.' Hidden costs love the space between a base motor quote and the final invoice. A low quote might not include the VFD keypad, encoder cable, coupling, bearing isolators, freight, or the extra documentation your customer requires.

Transparent pricing is the only pricing I trust. The vendor who lists all fees upfront—even if the total looks higher—usually costs less in the end. The low base price that turns into a change order later is the expensive one.

Checkpoint: For every motor quote, ask for a single all-in number with line items. If a vendor won't put the full cost in writing, take your parts elsewhere.

Step 6: Inspect the Motor When It Arrives

Receiving inspection is not optional. In our Q1 2024 audit, 5% of inbound motor shipments had at least one defect: a damaged shaft extension, missing drain plugs, a bent cooling fan cover, or the wrong wiring diagram inside the terminal box. None of those showed up on the packing list.

Before the rigging crew shows up, rotate the shaft by hand, inspect the casting for cracks, check the terminal box for moisture, confirm the nameplate matches your PO, and look for the lubrication tag if the motor is greaseable. If something's wrong, take photos and notify the carrier while the motor is still on the truck. Documenting a claim after installation is a much worse process.

Checkpoint: Use a receiving checklist that covers appearance, shaft rotation, nameplate, wiring diagram, accessories, paint damage, and documentation.

Common Mistakes I Still See

  • Assuming VFD compatibility from horsepower. A 10 HP motor that starts fine across the line can overheat at 5 Hz under full load. Check the speed range.
  • Greasing on 'the usual schedule.' The interval depends on hours, temperature, and bearing size. A Super E motor running clean 8-hour shifts might need grease every 12-18 months; in a dusty foundry, it's sooner. And if you used the wrong grease, interval doesn't matter.
  • Buying an industrial stepper motor without enough feedback. Open-loop is fine for some moves. If the machine can jam, encoder feedback is worth the extra cost.
  • Skipping the actual load measurement. If you're not measuring running amps, you're guessing.

Where My Advice Stops

This checklist worked for us at a mid-size motor distribution operation with predictable ordering patterns and mostly standard industrial environments. If your motor sits in a washdown zone, a hazardous location, or a long cable run to the VFD, you have a longer list: specially rated paint, different grease, different protection. Your mileage may vary when conditions change.

The point of the checklist is not to make every purchase harder. It's to make the first quote and the delivered unit match the actual requirement. That consistency is what saves you the expensive redo.
